With around 1,500 employees, 83 branches and around 220,000 members, Volksbank Mittelhessen eG is one of the largest cooperative banks in Germany. As a regionally anchored institution with strong customer proximity, it consistently pursues the goal of increasing quality, efficiency and customer focus through digital processes.

The bank sees itself as a modern service provider and life companion for people in the region - the demands on its internal processes are correspondingly high, particularly in terms of data quality and risk management.

In its corporate and private customer business, Volksbank Mittelhessen uses SCHUFA follow-up reports and SCHUFA monitoring in order to be informed at an early stage about relevant changes to existing customers - such as new negative features or contract developments.

However, the previous process had reached its limits:

When support for HCL Notes was discontinued, it became clear that the status quo was neither efficient nor sustainable. The bank used this impetus to completely reorganize its data management digitally - with the aim of noticeably increasing relevance, speed and data quality.

In close cooperation with SCHUFA, Volksbank Mittelhessen has developed an intelligent data management solution based on agree21IDA. The aim was to integrate incoming SCHUFA reports into the bank's work processes in an automated, risk-oriented manner and without media disruptions.

The new process works like this:

  • SCHUFA-Nachmeldungen und Monitoring-Hinweise werden systemisch erfasst.
  • Sie werden automatisch mit Kunden- und Kontodaten aus agree21 verknüpft.
  • Risikorelevante Hinweise werden gezielt an die zuständigen Fachabteilungen oder Berater weitergeleitet.
  • Kundenimpulse werden systematisch gefiltert und an die jeweils zuständige Fachabteilung gesteuert.

The result: more efficiency, less effort, targeted
processing - and significantly improved data quality thanks to
consistent focus on relevant customer developments.

The project was launched in November 2024 - with a cross-functional team from specialist departments, IT, risk management and project management.

One of the key challenges was to develop a common understanding of which messages actually require processing - and which do not. After all, not every customer impulse is automatically a risk signal. The new solution needed to target where action was required - and at the same time relieve the burden on operational teams.

The implementation was agile, with clear responsibilities and short decision-making paths. The result: an intelligent management process that meets the bank's quality requirements while significantly reducing manual effort.

Extensive training was deliberately avoided for the introduction. Employees were informed at an early stage via the social intranet. The new process logic within agree21 guides processors through the process based on questions and offers help on frequently asked questions directly in the system.

The new data management solution takes into account the different requirements of private and corporate customer business and has been designed accordingly:

In the private customer segment, the IDA report and customer portfolio are linked. This enables automatic assignment to the responsible advisor or specialist advisor, who knows the situation and can react immediately - whether in the event of risk-related information or impulses to update customer data.

In the corporate customer segment, on the other hand, the information is forwarded specifically to the relevant specialist departments. The advisor is only directly involved if it concerns new contracts or contracts that need to be updated - for example, if the SCHUFA report indicates a change at the company that could be relevant for existing commitments.

This differentiation ensures that information is processed efficiently and accurately - with clear responsibilities and without unnecessary process loops.

  • Individuelle Lösungen: Die zuständigen Ansprechpartner können Angebote und Maßnahmen gezielt auf die aktuelle Kundensituation zuschneiden.
  • Proaktive Kommunikation: Statt nur zu reagieren, können Berater potenzielle Themen im Vorfeld aufgreifen – und so Vertrauen und Kundenbindung stärken.
  • Weniger Aufwand, mehr Fokus: Durch die automatische Filterung und zielgerichtete Steuerung landen nur relevante Hinweise bei den richtigen Personen – das reduziert die Informationsflut und schafft Freiraum für den eigentlichen Kundenkontakt.
